Organize files: rename sensibly and move into folders
Name and file things sensibly and you find them in seconds later. You don’t need a perfect folder structure for that, just a few fixed rules.
Rules for good file names
- Start with the date as year-month-day, for example “2026-03-02 Electricity bill”. Files then sort themselves.
- Write what is inside instead of “Scan1” or “Document (3)”.
- Avoid special characters. Windows does not allow \ / : * ? " < > | in file names.
- Leave the extension as it is, otherwise the system no longer knows what opens the file.
Few, clear folders
Three to seven main folders are enough: for example “Work”, “Personal”, “Finance”, “Photos”. Below them one folder per year or project. If you don’t know where something is after a year, the structure is too deep.
How it works with GetSpace
Renaming and moving are possible right while sorting.
- R makes the name editable. The extension stays fixed behind it, Enter saves, Esc cancels, and nothing is overwritten. Z undoes it.
- M opens the target folders. Recently used folders are ready with a number.
- Moving only happens once you confirm in the summary. If a file with the same name is already at the target, the new one gets its own name, nothing is overwritten.
GetSpace is a program for Mac and Windows and doesn’t run on phones. Send yourself the link and download it on your computer.
